Prozessleitfaden für das ADI-Team: Beratung, Bewerbung, Zulassung & Invoicing
Der gesamte Prozess vom ersten Kontakt bis zur Immatrikulation verläuft in drei Phasen:
Eine Interessentin oder ein Interessent stellt eine Anfrage (Phase 1 — Beratung),
reicht eine Bewerbung ein (Phase 2 — Bewerbung & Zulassung), und nach
Zulassung folgt das Invoicing (Phase 3). Jeder Schritt wird vom System
automatisch begleitet — die einzigen manuellen Schritte sind die Entscheidung
(zugelassen / abgelehnt / zurückgestellt) und das Markieren von Zahlungen als bezahlt.

Eine Interessentin oder ein Interessent stellt eine Anfrage über das Formular auf der Website. Alles Weitere geschieht anschließend automatisch: Der Kontakt wird erfasst, die richtige Bewerbung oder Anfrage wird angelegt, und die Beratungstermin-Buchung wird angeklinkt. Je nachdem, was die Person ausgewählt hat, passiert etwas anderes — ein Studieninteresse, eine Inhouse-Anfrage, ein Seminarwunsch oder eine MBA-Beratung.
Der Ablauf in Kürze
Phase 1 — Die Anfrage geht ein. Eine Person füllt das Formular aus. Je nach Auswahl landet die Anfrage als Studieninteresse, Inhouse-Anfrage, Seminarwunsch oder MBA-Beratung.

Phase 2 — Terminbuchung und Begleitung. Sobald ein Beratungstermin gebucht wird, rückt die Bewerbung weiter und die automatische E-Mail-Begleitung/Vertriebsprozess beginnt.

Schritt 1 — Die Anfrage
Die Interessentin oder der Interessent öffnet das Formular auf /beratung. Das Formular kennt fünf Türen, je nachdem, was die Person sucht.

In dem Moment, in dem die Anfrage abgesendet wird:
- Die Person wird zu Ihren Kontakten hinzugefügt (kein Duplikat — bestehender Kontakt wird aktualisiert).
- Die Einwilligungen zu Marketing und Newsletter werden erfasst — jeweils unabhängig.
- Das zuständige Teammitglied erhält eine Benachrichtigung per E-Mail.
- Die Person erhält die passende Antwort mit dem nächsten Schritt.
Früher gab es ein Lead-Scoring mit Punkten und einer Schwelle. Das haben wir entfernt — jede Person erhält nun den Buchungslink, ohne Filter.
Schritt 2 — Der Beratungstermin
Wenn die Person den Termin bucht, passiert Folgendes automatisch:
- Die Bewerbung wird auf „Termin geplant" verschoben — aber niemals zurück.
- Die E-Mail-Begleitung beginnt: die Person erhält über fünf Monate hinweg fünf E-Mails — nach 3 Tagen, nach 2 Wochen, nach 1, 3 und 6 Monaten.
Die Begleitung folgt der Bewerbung: rückt die Person weiter (z. B. auf „Beratungstermin hat stattgefunden" oder „Buchung eingereicht"), rückt auch die E-Mail-Begleitung mit. Wird die Person abgewiesen oder zieht die Bewerbung sich zurück, stoppt die Begleitung.

Ein durchgespieltes Beispiel
Lisa Müller interessiert sich für den Studiengang Diplom-Immobilienökonom/in. Sie öffnet /beratung?program=diplom — das Formular hat die richtige Tür bereits vorausgewählt.
Sie füllt ihre Daten ein, kreuzt „Informationen zum Studiengang" an, lässt aber „Newsletter abonnieren" nicht angekreuzt.
In dem Moment, in dem sie absendet:
- Sie wird zu Ihren Kontakten hinzugefügt.
- Eine neue Bewerbung entsteht auf „Interesse geäußert".
- Das ADI-Team erhält eine Benachrichtigung.
- Lisa erhält eine Antwort mit dem Link zur Terminbuchung.
- Marketing = Ja (sie hat Studieninformationen gewünscht).
- Newsletter = Nein — sie wird nicht zur Newsletter-Liste hinzugefügt.
Lisa bucht einen Termin. Die Bewerbung rückt auf „Termin geplant". Die E-Mail-Begleitung beginnt. Nach dem Beratungsgespräch verschiebt das ADI-Team die Bewerbung manuell auf „Beratungstermin hat stattgefunden" — die Begleitung rückt automatisch mit.
Das Wichtigste in Kürze

Ein
verständlicher Leitfaden für das ADI-Team
Dies ist der neue Online-Prozess für Bewerbung und Zulassung. Eine
Bewerberin oder ein Bewerber füllt ein einziges
Formular aus, und nahezu alles Weitere geschieht anschließend
automatisch. Der einzige manuelle Schritt ist Ihre
Entscheidung: zugelassen, abgelehnt oder
zurückgestellt. Dieser Leitfaden erläutert, was die Bewerberin
oder der Bewerber erlebt, was Sie tun, welche E-Mails versendet werden
und wie mit Einwilligungen umgegangen wird — ganz ohne Technik.
Der Gesamtüberblick
Zwei Dinge geschehen zu zwei unterschiedlichen Zeitpunkten:
(1) In dem Moment, in dem die Bewerbung eingereicht
wird, wird alles automatisch abgelegt und erfasst, und alle Beteiligten
werden benachrichtigt; (2) sobald Sie entscheiden, wird
die passende E-Mail versendet und der Datensatz aktualisiert sich
selbst.
Phase 1 — Prüfung, Ablage und Kontakt. Zwei
Sicherungspunkte schützen Sie: Alles, was die Spam-Prüfung nicht besteht
oder bei dem die erforderliche Einwilligung fehlt, wird gestoppt,
bevor irgendetwas gespeichert wird.

Phase 2 — Bewerbung anlegen und alle
benachrichtigen. Alles automatisch, insgesamt wenige
Sekunden.

Schritt 1 — Die Bewerbung
geht ein
Die Bewerberin oder der Bewerber öffnet das Bewerbungsformular, wählt
den gewünschten Studiengang, trägt die persönlichen
Angaben ein, lädt die Unterlagen hoch (Lebenslauf
erforderlich; Zeugnisse und Motivationsschreiben optional) und setzt die
Häkchen für die Einwilligungen. Sobald auf „Absenden“ geklickt wird:
- Die Unterlagen werden privat und sicher gespeichert
— keine öffentlichen Links, nur für Prüfende zugänglich, erreichbar
ausschließlich über Ihren angemeldeten Zugang.
- Die Person wird Ihren Bewerbungsdatensätzen hinzugefügt (bei einer
früheren Bewerbung aktualisieren wir den bestehenden
Datensatz, statt ein Duplikat anzulegen) sowie dem
E-Mail-Tool — zur Newsletter-Liste hinzugefügt und für
Marketing markiert, jedoch nur bei entsprechender
Zustimmung.
- Der gewählte Studiengang wird einer neuen Bewerbung
in der Phase „Buchung eingereicht“ zugeordnet.
- Die Person erhält umgehend eine Eingangsbestätigung
— „Vielen Dank für Ihre Bewerbung.“
- Sie erhalten eine Benachrichtigungs-E-Mail mit
einem Ein-Klick-Link direkt zum Datensatz.
Schritt 2 — Sie prüfen
und entscheiden
Sie öffnen den Datensatz der Bewerberin oder des Bewerbers über den
Link in der Benachrichtigung, sichten die hochgeladenen Unterlagen und
kennzeichnen die Bewerbung mit einer von drei
Entscheidungen. Diese einzelne Auswahl steuert alles Weitere:

„Zurückgestellt“ ist eine bewusste Option, kein Versehen — nutzen Sie
sie immer dann, wenn eine Entscheidung warten muss.
Optional: Das System kann für jede neue Bewerbung
zusätzlich eine Aufgabe „Bewerbung prüfen“ auf Ihre
Aufgabenliste setzen und diese automatisch abhaken, sobald Sie
entschieden haben. Diese Funktion ist standardmäßig
deaktiviert — ein kurzes Wort von Ihnen genügt, und wir
schalten sie ein.
Die E-Mails im Überblick
Alle Beteiligten erhalten stets die richtige E-Mail zum richtigen
Zeitpunkt. Bewerbungsbezogene E-Mails werden immer
versendet — sie hängen niemals davon ab, ob jemand Marketing
oder einen Newsletter wünscht.

Die beiden letzten sind vollständig unabhängig
voneinander. Jemand kann den Newsletter wünschen, aber
kein Marketing — oder umgekehrt — und genau das
erfassen wir.

Anna Berger bewirbt sich für den Studiengang
Diplom-Immobilienökonom/in. Sie kreuzt
„Informationen zum Studiengang“ (Marketing) an, lässt aber
„Newsletter abonnieren“ nicht angekreuzt.
Folgendes geschieht automatisch in dem Moment, in dem sie
absendet:
- 📎 Ihr Lebenslauf und ihre Zeugnisse werden sicher unter ihrem Namen
abgelegt, nur für Prüfende zugänglich.
- 👤 Sie wird Ihren Bewerbungsdatensätzen hinzugefügt (bzw. ihr
bestehender Datensatz wird aktualisiert) sowie dem E-Mail-Tool.
- 🎓 Eine neue Bewerbung erscheint in Buchung
eingereicht, mit zugeordnetem
Diplom-Immobilienökonom/in.
- ✅ Marketing = Ja (sie hat Studieninformationen
gewünscht).
- ⬜ Newsletter = Nein (sie hat ihn nicht gewünscht)
— und sie wird nicht zur Newsletter-Liste
hinzugefügt.

- 🔔 Regina erhält eine Benachrichtigung mit einem Link zu Annas
Datensatz.
Später sichtet Regina Annas Unterlagen und setzt
zugelassen:
- 📧 Anna erhält die Zulassungs-E-Mail mit Konditionen und
Zahlungsinformationen.
- 🔢 Anna wird automatisch eine Matrikelnummer
zugewiesen.
- 📂 Ihr Datensatz wechselt nach Immatrikuliert.
Anna erhält studiengangsbezogenes Marketing (sie hat
zugestimmt), aber nicht den Newsletter (sie hat nicht
zugestimmt) — und in beiden Fällen erhält sie stets ihre Bewerbungs- und
Zulassungs-E-Mails, denn diese sind kein Marketing.
Was Sie sich merken sollten
- Ein menschlicher Schritt: Datensatz öffnen,
Unterlagen sichten, zugelassen / abgelehnt / zurückgestellt
wählen.
- Alles Weitere — Ablage der Dokumente, Bewerbungsdatensätze,
Eingangs- und Entscheidungs-E-Mails, Matrikelnummern, Einwilligungen —
geschieht automatisch.
- Duplikate werden vermieden: Bewirbt sich dieselbe
Person erneut, wird ihr bestehender Datensatz aktualisiert.
- Einwilligungen sind präzise und getrennt: Marketing
und Newsletter werden unabhängig voneinander erfasst, und
Bewerbungs-E-Mails erreichen die Bewerber:innen in jedem Fall.
Fragen oder Änderungswünsche zu Formulierungen, Zeitpunkten oder
der optionalen Aufgabenliste — sagen Sie uns einfach Bescheid.
Phase 3 — Invoicing & Zahlung
Nach der Zulassung beginnt die finanzielle Abwicklung. Bei der Zulassung wird die
Zahlungsmodalität festgelegt — drei Optionen stehen zur Verfügung:

Status Invoicing: Die Zahlungsmodalität wird bereits bei der
Zulassung im System hinterlegt (Einmalzahlung / Ratenzahlung / Förderung). Die automatische
Rechnungserstellung und der Versand sind in Vorbereitung — derzeit werden
Rechnungen manuell erstellt und versendet. Die Erfassung der Zahlung erfolgt im Shop
(WooCommerce) oder im CRM, je nach Zahlungsart.

Process guide for the ADI team: Counselling, Application, Admissions & Invoicing
The entire process from first contact to matriculation runs in three phases:
A prospect submits an enquiry (Phase 1 — Counselling),
submits an application (Phase 2 — Application & Admissions), and
after admission, invoicing follows (Phase 3). Every step is
automatically handled by the system — the only manual steps are the decision
(admitted / rejected / on hold) and marking payments as received.

Phase 1 — Counselling (M05)

A guide for the ADI team
Someone interested in the programme submits an enquiry via the form on the website. Everything else happens automatically: the contact is captured, the right application or enquiry is created, and the counselling appointment booking is linked. Depending on what the person selected, different things happen — a study interest, an in-house enquiry, a seminar request, or an MBA consultation.
The Process in Brief
Phase 1 — The enquiry arrives. A person fills out the form. Depending on their selection, it lands as a study interest, in-house enquiry, seminar request, or MBA consultation.

Phase 2 — Booking and nurturing. Once a counselling appointment is booked, the application moves forward and the automated email nurture/sales process begins.
Step 1 — The Enquiry
The person opens the form at /beratung. The form has five doors, depending on what the person is looking for.
The moment the enquiry is submitted:
- The person is added to your contacts (no duplicates — existing contact is updated).
- Consents for marketing and newsletter are captured — each independent.
- The responsible team member receives an email notification.
- The person receives the appropriate response with the next step.
There used to be lead scoring with points and a threshold. We removed it — everyone now receives the booking link, no filter.
Step 2 — The Counselling Appointment
When the person books an appointment, the following happens automatically:
- The application moves to "Appointment scheduled" — but never back.
- The email nurture begins: over five months the person receives five emails — after 3 days, 2 weeks, 1 month, 3 months, and 6 months.
The nurture follows the application: if the person moves forward (e.g. to "Counselling took place" or "Booking submitted"), the nurture moves with them. If the person is rejected or the application is withdrawn, the nurture stops.

A Walked-Through Example
Lisa Müller is interested in the Diploma in Real Estate Economics. She opens /beratung?program=diplom — the form has the right door pre-selected.
She enters her details, ticks "Programme information", but leaves "Subscribe to newsletter" unticked.
The moment she submits:
- She's added to your contacts.
- A new application is created at "Interest expressed".
- The ADI team receives a notification.
- Lisa receives a response with the link to book an appointment.
- Marketing = Yes (she wanted programme information).
- Newsletter = No — she is not added to the newsletter list.
Lisa books an appointment. The application moves to "Appointment scheduled". The email nurture begins. After the counselling session, the ADI team manually moves the application to "Counselling took place" — the nurture automatically follows.

The Key Points
- No manual step for the enquiry — everything runs automatically.
- One form, five doors — depending on selection, the enquiry lands in the right pipeline.
- The nurture follows the application — if the person moves forward, the nurture moves with them.
- No more lead scoring — every enquirer receives the booking link.
- Booking only moves forward — never back.

Phase 2 — Application & Admissions (M04)
Application & Admissions — How It Works
A plain-language guide for the ADI team
This is the new online process for applications and admissions. An applicant fills out one single form, and nearly everything else happens automatically. The only manual step is your decision: admitted, rejected, or deferred. This guide explains what the applicant experiences, what you do, which emails are sent, and how consents are handled — no technical jargon.
The Big Picture
Two things happen at two different times: (1) the moment the application is submitted, everything is filed and captured, and everyone is notified; (2) once you decide, the appropriate email is sent and the record updates itself.
Phase 1 — Spam check, filing, and contact. Two safeguards protect you: anything that fails the spam check or is missing required consent is stopped before anything is saved.
Phase 2 — Create application and notify everyone. All automatic, a few seconds total.

Step 1 — The Application Arrives
The applicant opens the application form, selects the desired programme, enters their personal details, uploads documents (CV required; transcripts and motivation letter optional), and ticks the consent boxes. The moment they click "Submit":
- Documents are stored privately and securely — no public links, accessible only to reviewers via your authenticated login.
- The person is added to your application records (if they applied before, we update the existing record instead of creating a duplicate) and to the email tool — added to the newsletter list and marked for marketing, but only with their consent.
- The selected programme is linked to a new application in the "Booking submitted" stage.
- The person immediately receives a confirmation email — "Thank you for your application."
- You receive a notification email with a one-click link to the record.
Step 2 — You Review and Decide
You open the applicant's record via the link in the notification, review the uploaded documents, and tag the application with one of three decisions. This single selection controls everything that follows:

"Deferred" is a deliberate option, not an oversight — use it whenever a decision needs to wait.

Optional: The system can also create a "Review application" task on your task list for each new application, and auto-close it once you've decided. This is off by default — just say the word and we'll enable it.

The form has three separate checkboxes, and each controls only its own purpose. Ticking one never silently activates another — so you can always prove exactly what each person consented to.

The last two are fully independent. Someone can want the newsletter but not marketing — or vice versa — and that's exactly what we capture.
A Walked-Through Example
Anna Berger applies for the Diploma in Real Estate Economics. She ticks "Programme information" (marketing) but leaves "Subscribe to newsletter" unticked.
The following happens automatically the moment she submits:
- 📎 Her CV and transcripts are securely filed under her name, accessible only to reviewers.
- 👤 She is added to your application records (or her existing record is updated) and the email tool.
- 🎓 A new application appears in Booking submitted, linked to Diploma in Real Estate Economics.
- ✅ Marketing = Yes (she wanted programme information).
- ⬜ Newsletter = No (she didn't want it) — and she is not added to the newsletter list.
- 📧 She receives "Thank you for your application."
- 🔔 Regina receives a notification with a link to Anna's record.
Later, Regina reviews Anna's documents and sets admitted:
- 📧 Anna receives the admission email with conditions and payment info.
- 🔢 Anna is automatically assigned a matriculation number.
- 📂 Her record moves to Enrolled.
Anna receives programme-related marketing (she consented), but not the newsletter (she didn't consent) — and in both cases, she always receives her application and admission emails, because those are not marketing.
What to Remember
- One human step: open the record, review documents, choose admitted / rejected / deferred.
- Everything else — document filing, application records, confirmation and decision emails, matriculation numbers, consents — happens automatically.
- No duplicates: if the same person applies again, their existing record is updated.
- Consents are precise and separate: marketing and newsletter are captured independently, and application emails always reach the applicant.

Invoicing & Payment — The Planned Process
A guide for the ADI team (planned — not yet active)
This process is not yet active. It is designed and walked through in the flow diagram, but not yet built. Two management decisions are still needed before we can start (see below). This guide describes how the process will work so you know what's coming.
What It's About
When a student is enrolled, an invoice must be generated, sent, and the payment monitored. Today this is manual. M07 will automate this end-to-end — from enrolment in Pipedrive to a paid invoice — with manual review only for unmatched payments.

The Planned Flow
Phase 1 — Generate invoice. As soon as an application moves to "Enrolled", the system automatically creates an invoice in the accounting software (lexoffice or sevdesk) — as a PDF with an invoice number.
What kind of invoice is generated depends on the payment modality, which is automatically stamped on the deal at admission:

Phase 2 — Send invoice. The invoice is automatically emailed 14 days before study start (via the email tool).

Kundinnen und Kunden buchen ein Seminar in Ihrem WooCommerce-Shop.
Alles Weitere geschieht anschließend automatisch: Der Deal wird
angelegt, Seminar- und Zahlungsdaten werden erfasst, die Bestätigung
geht raus, Erinnerungen werden versendet und nach dem Seminar wird das
Zertifikat ausgestellt. Der einzige manuelle Schritt ist der, den Sie
ohnehin ausführen: Wenn eine Rechnung bezahlt wird, markieren Sie die
Bestellung im Shop als bezahlt. Dieser Leitfaden beschreibt, was die
Kundin oder der Kunde erlebt, was Sie tun, welche E-Mails versendet
werden und wie zwischen bezahlt und offen unterschieden wird.
Der Ablauf in Kürze
Zwei Dinge geschehen zu unterschiedlichen Zeitpunkten. Erstens: In
dem Moment, in dem gebucht wird, wird der Deal angelegt und alles
abgelegt. Zweitens: Zahlung und Seminartermin bewegen den Deal weiter
und lösen die passenden E-Mails aus, weitgehend von selbst.
Phase 1 — Die Buchung wird abgelegt. Sobald eine
Bestellung eingeht, wird die teilnehmende Person erfasst, ein
Seminare-Deal angelegt, das Seminarprodukt verknüpft und die
Bestelldaten werden gespeichert (Bestellnummer, Zahlungsart,
Transaktions-ID, Seminardatum und -ort).

Phase 2 — Zahlung und Seminar bewegen den Deal. Die
Stufe des Deals bildet immer den tatsächlichen Stand ab: gebucht aber
offen, bezahlt, abgeschlossen oder storniert.

Schritt 1 — Die Buchung
Die Kundin oder der Kunde bucht ein Seminar im Shop und wählt eine
Zahlungsart. In dem Moment, in dem die Bestellung eingeht:
- Die teilnehmende Person wird zu Ihren Kontakten hinzugefügt. Wer
schon einmal gebucht hat, wird nicht doppelt angelegt, sondern der
bestehende Kontakt wird aktualisiert.
- Ein Seminare-Deal wird angelegt, das Seminarprodukt wird verknüpft
und der Wert wird aus der Bestellung übernommen.
- Die Bestelldaten werden am Deal gespeichert: Bestellnummer,
Zahlungsart, Rabattcode, die Mollie-Transaktions-ID (bei Karte und
PayPal) sowie Seminardatum und -ort.
- Die Person erhält sofort eine Buchungsbestätigung per E-Mail, mit
Seminarname und Datum.
Doppelte Deals entstehen nicht. Der Shop meldet dieselbe Bestellung
mehrfach, etwa wenn sich der Zahlungsstatus ändert. Das System erkennt
das und aktualisiert denselben Deal, statt einen zweiten anzulegen. Die
Bestätigungs-E-Mail wird nur einmal versendet, bei der ersten
Buchung.
Schritt 2 — Bezahlt oder
offen
Die meisten ADI-Seminare werden auf Rechnung gebucht. Dabei wird beim
Checkout kein Geld eingezogen; die Kundin oder der Kunde zahlt später
per Überweisung. Die Stufe des Deals zeigt deshalb genau an, wo die
Zahlung steht.

Ihr einziger manueller Schritt: Wenn eine Überweisung für eine
Rechnung eingeht, markieren Sie die Bestellung im WooCommerce-Shop wie
gewohnt als bezahlt. Diese eine Handlung verschiebt den Deal automatisch
auf bezahlt (gewonnen). In Pipedrive müssen Sie nichts tun.
Schritt 3 — Erinnerungen
und Zertifikat
Dieser Teil läuft eigenständig, gesteuert über das Seminardatum.
Berücksichtigt werden nur zahlende Teilnehmende. Wer die Rechnung noch
nicht bezahlt hat, erhält die Seminarunterlagen nicht.

- Vor dem Seminar: Die teilnehmende Person erhält das
Seminarskript, die Dozentin oder der Dozent erhält eine Erinnerung.
Beides wird je einmal versendet, nur bei bezahlten Buchungen.
- Nach dem Seminartermin: Der Deal wird automatisch
auf „Abgeschlossen – Zertifikat versendet“ verschoben. Dabei werden die
Teilnahmebescheinigung und das Folgeangebot versendet.

Offene Buchungen, bei denen die Rechnung noch nicht bezahlt ist,
erhalten ausschließlich die Buchungsbestätigung. Unterlagen und
Zertifikat folgen erst, sobald die Zahlung im Shop markiert wurde.
Shop und Pipedrive bleiben
synchron
- Jedes Seminar aus dem Shop liegt auch als Produkt in Pipedrive vor
und wird automatisch aktuell gehalten, bei neuen Seminaren ebenso wie
bei Preisänderungen. Deshalb wird jede Buchung dem richtigen Seminar
zugeordnet.
- Die Einwilligungen der teilnehmenden Person zu Marketing und
Newsletter werden berücksichtigt. Die Person wird in Ihr E-Mail-Tool
aufgenommen und dem Seminar zugeordnet, in eine Marketingliste jedoch
nur dann, wenn sie beim Checkout zugestimmt hat.
Ein Beispiel
Robert Bencsik bucht den 17. Stuttgarter
Immobilientalk und zahlt auf Rechnung.
Im Moment des Checkouts:
- Er wird zu Ihren Kontakten hinzugefügt, oder sein bestehender
Kontakt wird aktualisiert.
- Ein Seminare-Deal entsteht, mit dem verknüpften Produkt Stuttgarter
Immobilientalk, dem Wert 100,84 €, der Bestellnummer und dem
Seminardatum (19.10.2026, Stuttgart).
- Da es sich um eine offene Rechnung handelt, steht der Deal auf
„Rechnung versendet“ (offen): gebucht, Überweisung
ausstehend.
- Er erhält die Buchungsbestätigung „Buchungsbestätigung: 17.
Stuttgarter Immobilientalk …“.
- Die Seminarunterlagen erhält er noch nicht, da er nicht bezahlt
hat.
Eine Woche später geht seine Überweisung ein. Sie markieren
die Bestellung im Shop als bezahlt. Automatisch:
- Der Deal wechselt auf „Teilnahmelink versendet“
(gewonnen).
- Einige Tage vor dem Termin erhält er das Seminarskript, die Dozentin
oder der Dozent erhält eine Erinnerung.
Nach dem 19.10.2026:
- Der Deal wechselt auf „Abgeschlossen – Zertifikat
versendet“, seine Teilnahmebescheinigung wird versendet und das
Folgeangebot geht raus.
Zu keinem Zeitpunkt musste jemand Pipedrive öffnen. Die einzige
Handlung war, die Rechnung im Shop als bezahlt zu markieren.
Das Wichtigste in Kürze
- Ein manueller Schritt: Wird eine Rechnung bezahlt,
markieren Sie die Bestellung im WooCommerce-Shop als bezahlt. Das allein
verschiebt den Deal auf gewonnen und gibt die Unterlagen für die
teilnehmende Person frei.
- Alles Übrige läuft automatisch: der Deal, das Seminarprodukt,
Bestell- und Zahlungsdaten, Bestätigung, Erinnerungen und
Zertifikat.
- Offen ist nicht bezahlt: Eine Rechnungsbuchung
steht auf „Rechnung versendet“ (offen), bis das Geld eingegangen ist. So
enthält Ihre gewonnene Pipeline nur tatsächlich bezahlte Seminare.
- Keine Duplikate: Dieselbe Bestellung kann vom Shop
mehrfach gemeldet werden. Sie aktualisiert stets denselben Deal, und die
Bestätigung wird nur einmal versendet.
- Stornierungen und Erstattungen verschieben den Deal
auf „Abgeschlossen – abgesagt“ (verloren).

Seminar Bookings — How the Process Works
A guide for the ADI team
Customers book a seminar in your WooCommerce shop. Everything else happens automatically: the deal is created, seminar and payment data are captured, the confirmation goes out, reminders are sent, and after the seminar the certificate is issued. The only manual step is the one you already do: when an invoice is paid, you mark the order as paid in the shop. This guide describes what the customer experiences, what you do, which emails are sent, and how paid vs. open is distinguished.
The Process in Brief
Two things happen at different times. First: the moment a booking comes in, the deal is created and everything is filed. Second: payment and seminar date move the deal forward and trigger the right emails, largely on their own.
Phase 1 — The booking is filed. As soon as an order arrives, the participant is captured, a seminar deal is created, the seminar product is linked, and order data is saved (order number, payment method, transaction ID, seminar date and location).

Phase 2 — Payment and seminar move the deal. The deal stage always reflects the actual status: booked but open, paid, completed, or cancelled.


Step 1 — The Booking
The customer books a seminar in the shop and selects a payment method. The moment the order comes in:
- The participant is added to your contacts. Returning customers aren't duplicated — the existing contact is updated.
- A seminar deal is created, the seminar product is linked, and the value is taken from the order.
- Order data is saved on the deal: order number, payment method, discount code, the Mollie transaction ID (for card and PayPal), and seminar date and location.
- The person immediately receives a booking confirmation email with seminar name and date.
Duplicate deals don't happen. The shop reports the same order multiple times — e.g. when payment status changes. The system recognises this and updates the same deal instead of creating a second one. The confirmation email is sent only once, on the first booking.
Step 2 — Paid or Open
Most ADI seminars are booked on invoice. No money is collected at checkout; the customer pays later by bank transfer. The deal stage shows exactly where payment stands.

Your only manual step: when a bank transfer comes in for an invoice, mark the order as paid in WooCommerce — just as you always do. That one action moves the deal to paid (won). You don't need to do anything in Pipedrive.
Step 3 — Reminders and Certificate
This part runs on its own, driven by the seminar date. Only paying participants are included. Anyone who hasn't paid their invoice doesn't receive the seminar materials.


- Before the seminar: the participant receives the seminar script, and the instructor receives a reminder. Both are sent once, only for paid bookings.
- After the seminar date: the deal automatically moves to "Completed – certificate sent". The certificate of attendance and a follow-up offer are sent.

Open bookings where the invoice hasn't been paid receive only the booking confirmation. Materials and certificates follow once payment is marked in the shop.
Shop and Pipedrive Stay in Sync
- Every seminar in the shop also exists as a product in Pipedrive and is kept up to date automatically — for new seminars as well as price changes. So every booking is linked to the right seminar.
- The participant's consents for marketing and newsletter are respected. The person is added to your email tool and linked to the seminar, but only added to a marketing list if they opted in at checkout.
An Example
Robert Bencsik books the 17th Stuttgart Real Estate Talk and pays by invoice.
At checkout:
- He's added to your contacts, or his existing contact is updated.
- A seminar deal is created, linked to the product "Stuttgart Real Estate Talk", value €100.84, order number, and seminar date (19 Oct 2026, Stuttgart).
- Since it's an open invoice, the deal is on "Invoice sent" (open): booked, transfer pending.
- He receives the booking confirmation "Booking confirmation: 17th Stuttgart Real Estate Talk…".
- He doesn't receive the seminar materials yet, because he hasn't paid.
A week later his transfer arrives. You mark the order as paid in the shop. Automatically:
- The deal moves to "Participation link sent" (won).
- A few days before the date, he receives the seminar script, and the instructor receives a reminder.
After 19 Oct 2026:
- The deal moves to "Completed – certificate sent", his certificate of attendance is sent, and the follow-up offer goes out.
At no point did anyone need to open Pipedrive. The only action was marking the invoice as paid in the shop.
The Key Points
- One manual step: when an invoice is paid, mark the order as paid in WooCommerce. That alone moves the deal to won and releases the materials for the participant.
- Everything else runs automatically: the deal, seminar product, order and payment data, confirmation, reminders, and certificate.
- Open is not paid: an invoice booking sits on "Invoice sent" (open) until the money arrives. So your won pipeline only contains actually paid seminars.
- No duplicates: the same order can be reported by the shop multiple times. It always updates the same deal, and the confirmation is sent only once.
- Cancellations and refunds move the deal to "Completed – cancelled" (lost).
For changes to wording, timing, or emails sent — just let us know.
Dozenten-Verwaltung — So läuft der Prozess ab
Leitfaden für das ADI-Team
Wenn ein Lehrauftrag an eine Dozentin oder einen Dozenten vergeben werden soll, genügt ein Schritt in Pipedrive: der Deal wird auf „Angefragt" gezogen. Alles Weitere läuft automatisch — die Dozentin erhält eine E-Mail mit einem Klick-Link, nimmt an oder ab, und bei Zusage werden der Vertrag erzeugt und die Unterlagen verschickt.
Der Ablauf in Kürze
Phase 1 — Anfrage senden. Sie ziehen den Deal auf „Angefragt" — die Dozentin erhält automatisch eine E-Mail mit der Bitte um Rückmeldung.

Phase 2 — Dozentin entscheidet. Die Dozentin klickt auf „Zusagen" oder „Absagen" — und das System erledigt den Rest.
Schritt 1 — Die Anfrage senden
Sie haben einen Lehrauftrag-Deal in Pipedrive. Die Details sind ausgefüllt (Modul, Termine, Honorar). Jetzt ziehen Sie den Deal auf die Stufe „Angefragt".
In dem Moment, in dem der Deal auf „Angefragt" wechselt:
- Die Dozentin erhält automatisch eine E-Mail mit zwei Buttons: Zusagen (rot) und Absagen (grau).
- Die E-Mail enthält die Informationen zum Modul und den Terminen.
- Am Deal wird das Datum der Anfrage notiert — damit die E-Mail nicht ein zweites Mal gesendet wird.
Möchten Sie die Anfrage erneut senden? Leeren Sie das Feld „Anfrage gesendet" am Deal und ziehen Sie den Deal erneut auf „Angefragt".
Schritt 2 — Die Dozentin entscheidet
Die Dozentin klickt in der E-Mail auf Zusagen oder Absagen. Es wird kein Login benötigt — der Link enthält alle nötigen Informationen.
Bei Zusage
- Der Deal wechselt automatisch auf „Zugesagt".
- Ein Honorarvertrag wird automatisch erzeugt (als PDF) und im Hintergrund abgelegt.
- Die Dozentin erhält das Lecture-Pack mit allen Unterlagen zum Modul per E-Mail.
Bei Absage
- Sie erhalten eine Benachrichtigung per E-Mail, dass die Dozentin abgesagt hat.
- Der Deal bleibt auf „Angefragt" — Sie können eine andere Dozentin anfragen.
Schritt 3 — Erinnerungen vor dem Termin
Sobald der Deal auf „Zugesagt" steht, werden automatisch Erinnerungen versendet — gesteuert über das Datum des Vorlesungstermins:

Beide Erinnerungen werden nur einmal versendet. Wurde eine Erinnerung bereits gesendet, wird sie nicht erneut versendet — auch wenn der Deal verschoben wird.
Die Erinnerungen sind derzeit noch nicht aktiviert. Sie sind gebaut und getestet, werden aber erst scharf geschaltet, wenn die Pipeline vollständig im Einsatz ist.

Prof. Dr. Wagner soll das Modul „Projektentwicklung" am 15. Oktober 2026 übernehmen.
Regina füllt den Lehrauftrag-Deal aus (Modul, Termin, Honorar) und zieht den Deal auf „Angefragt":
- Prof. Wagner erhält automatisch eine E-Mail: „Anfrage für Lehrauftrag: Projektentwicklung" mit den Buttons Zusagen und Absagen.
- Am Deal wird das Datum der Anfrage notiert.
Prof. Wagner klickt auf Zusagen:
- Der Deal wechselt auf „Zugesagt".
- Ein Honorarvertrag wird als PDF erzeugt und abgelegt.
- Prof. Wagner erhält das Lecture-Pack mit den Unterlagen per E-Mail.
14 Tage vor dem Termin erhält er die Folien-Erinnerung. 7 Tage vorher die Klausur-Entwurf-Erinnerung.
Was noch fehlt
Die Pipeline „Lehraufträge" ist in Pipedrive noch als „geplant" markiert. Das ist bewusst so: die Stufen und Einstellungen sind noch nicht final — wir stimmen diese mit Ihnen ab, sobald der Prozess im Alltag steht. Die Pipeline wird in Pipedrive sichtbar, sobald sie aktiv geht.

Instructor Management — How the Process Works
A guide for the ADI team
When a teaching assignment should be given to an instructor, one step in Pipedrive is enough: drag the deal to "Requested". Everything else runs automatically — the instructor receives an email with a click-link, accepts or declines, and on acceptance the contract is generated and materials are sent.
The Process in Brief
Phase 1 — Send the request. You drag the deal to "Requested" — the instructor automatically receives an email asking for their response.
Phase 2 — Instructor decides. The instructor clicks "Accept" or "Decline" — and the system handles the rest.
Step 1 — Sending the Request
You have a teaching assignment deal in Pipedrive. The details are filled in (module, dates, fee). Now drag the deal to the "Requested" stage.
The moment the deal moves to "Requested":
- The instructor automatically receives an email with two buttons: Accept (red) and Decline (grey).
- The email contains the module and date information.
- The request date is noted on the deal — so the email is not sent a second time.
Want to resend the request? Clear the "Request sent" field on the deal and drag it to "Requested" again.

Step 2 — The Instructor Decides
The instructor clicks Accept or Decline in the email. No login is required — the link contains all the necessary information.
On Acceptance
- The deal automatically moves to "Accepted".
- A honorary contract is automatically generated (as PDF) and filed in the background.
- The instructor receives the Lecture Pack with all materials for the module via email.
On Decline
- You receive an email notification that the instructor declined.
- The deal stays on "Requested" — you can ask another instructor.
Step 3 — Reminders Before the Date
Once the deal is on "Accepted", reminders are sent automatically — driven by the lecture date:

Both reminders are sent only once. If a reminder has already been sent, it is not sent again — even if the deal is moved.
The reminders are not yet activated. They are built and tested, but will only go live once the pipeline is fully in use.

A Walked-Through Example
Prof. Dr. Wagner is to teach the module "Project Development" on 15 October 2026.
Regina fills out the teaching assignment deal (module, date, fee) and drags it to "Requested":
- Prof. Wagner automatically receives an email: "Teaching assignment request: Project Development" with the buttons Accept and Decline.
- The request date is noted on the deal.
Prof. Wagner clicks Accept:
- The deal moves to "Accepted".
- A honorary contract is generated as PDF and filed.
- Prof. Wagner receives the Lecture Pack with materials via email.
14 days before the date he receives the slides reminder. 7 days before, the exam draft reminder.
What's Still Missing
The "Lehraufträge" pipeline is still marked as "planned" in Pipedrive. This is intentional: the stages and settings are not yet final — we will align them with you once the process is in everyday use. The pipeline becomes visible in Pipedrive once it goes live.

The Key Points
- One manual step: drag the deal to "Requested" — that sends the request email.
- On acceptance: deal moves to "Accepted", contract is generated, Lecture Pack is sent.
- On decline: you're notified and can ask another person.
- Reminders before the date go automatically to the instructor (14 and 7 days before).
- Resend request: clear the "Request sent" field and drag the deal to "Requested" again.
